FideLearn ("we") provides exam, proctoring and school-management software to schools and tutorial centres ("schools"). This policy explains what personal data we handle and how we protect it, in line with the Nigeria Data Protection Act 2023.
1. Who is responsible
Each school decides what student, parent and staff data it puts into FideLearn and is the data controller for that data. FideLearn processes it on the school's behalf (as data processor) and only to provide the service. For data about our own customers and website visitors, FideLearn is the controller.
2. What we handle
- School and staff contact details, account logins and billing records.
- Student records entered by the school: names, IDs, classes, photos, exam answers and results, attendance times, fees records.
- Webcam images, live video and alert clips during proctored exams, where the school turns proctoring on.
- Technical data such as IP addresses and device type, used for security and to keep the service working.
3. How we use it
Only to run the service for the school: delivering and marking exams, proctoring, attendance, results, communication with parents chosen by the school, support, security and billing. We do not sell personal data and we do not use student data for advertising.
4. Proctoring video
Live video is shown to the school's invigilators and is not recorded, except short clips saved around integrity alerts when the school enables them. Clips are kept for up to 60 days and then deleted automatically. Schools must tell candidates that exams are proctored.
5. Security
Connections are encrypted with HTTPS; each school's data is kept separate; access is protected by passwords and keys; and we keep backups and apply security updates. We tell affected schools promptly if a breach affects their data.
6. Keeping and deleting data
We keep a school's data while its account is active. A school can export or delete its data at any time; after an account closes we delete it within 90 days, except records we must keep by law (for example billing).
7. Your rights
Students, parents and staff can ask their school to see, correct or delete their data. You can also contact us and we will help the school respond. You may complain to the Nigeria Data Protection Commission.
